+ Home Page
The Home Page is your first port of call when
logging into Nursery Net.
Depending on what permissions you have been
allocated will determine what you are able to access and view within Nursery-Net
and the Home Page.
The Home Page is an overview of the setting’s
daily activities to include occupancy which is shown as an overall for both
staff and children which can also be
broken down to departments and rooms. If you are a multiple setting business, you can
access each setting’s information
+ Forecasting
Forecasting has been designed to
save time by allowing you to enter and view
real time attendance.
This is a great asset for multiple nurseries as you are able to access all your information for
each nursery from the one database.
Child absences, holidays and extra sessions
can be entered directly into forecasting which will automatically update your
numbers and also inform the invoicing modules of these changes so there is no
need to re enter this information, saving you more time.
Forecasting enables you to look at past,
present and future occupancy for both staff and children at the click of a
button, you have various different options within the search criteria to choose
from. As a result, this allows you to forecast both child and staff ratios
accurately.
+ Sage Integration
As a licensed Sage Developer, Nursery-Net can integrate with the market leader for accounting software, ensuring that
your business is run as effectively as it can be.
We have teamed up with Sage Accounting. Our new Sage integration allows seamless transfer of your financial and
pay data directly into your existing Sage L50 software reducing manual entries ensuring your nursery financials
run smoothly and accurately.
This feature is to be added by April 2012.
+ Parent Communication Tools
Our new 'parent emailer' function will allow you to send a single email to all records/selected records on your
database. Very useful for newsletters and notifications. You will also be able to email your invoices directly
to your parents as well as printing and posting. With the price of stamps these days imagine how much money this
could save you!
The new SMS (texting) service will allow you to send a single text to all or some of your parents. Very useful
if you need to tell everyone your nursery is closed due to heavy snow or you have to close for any reason. You
can send whatever you like!
You will also be able to automatically send a text to parents when their invoices are ready along with the amount
and due date.
This feature is to be added by April 2012.
+ Children’s Information
The registration of children is a simple and effective process which uses a step by step wizard.
The child’s record contains all the information that is required by Ofsted and other regulatory bodies.

Information with the child’s record can be exported in various different formats; you are also able to produce various different reports

Staff management allows you to record all staff details that are required by Ofsted and other regulatory bodies. By collating all of this information you are able to produce various reports and export the results in different formats.

For each staff member you are able to allocate a photo against each staff member’s individual profile allowing you to put a name to a face, this has proved to be a great asset in larger multiple settings. You are able to search employees using various search filters which include, nursery setting (if multiple), initial and staff ID, you also have the option to include ‘Leavers’ within your searches.
Staff management will automatically flag any missing information from the staff record, for example expired, due to expire or missing CRB checks on the home page.
Additionally this module integrates into the Holiday and Absence module allowing you to monitor all staff holiday, appointments and absences.
+ Enquiries
The Enquiry module has been developed to ensure you are able to collate all the relevant information from a prospective parent.
If the parent has enquired before this will automatically retrieve this enquiry, to include all past details. If any details have changed you are able to edit the enquiry, or if you wish you can enter as a complete new record.
If the enquiry converts to a registration, there is no need to re enter their personal information as this is automatically transferred to the ‘Registration Wizard’.
Various reports can be produced to include items like Enquiry letters.
Visit Reports enable you to evaluate enquiries that have turned to visits and visits that have turned to registrations.
With Advertising Reports you can define within your enquiry module ‘How did they hear about us?’ for example, local paper, word of mouth, friend. Reports can then be produced to evaluate your marketing strategy.
+ Visits
Visits can be booked through the Enquiry module, visit types can be configured for example, show around visit, 1st Induction, 2nd Induction.
Once a visit has been booked this will automatically update in the system, if another member of staff selects a visit at the same time the system will notify you that there is another visit at this time to make you aware of a double booking.
For multiple settings you are able to see what visits are booked on the home page for each setting.
+ Payroll Sacrifice Vouchers
More and more parents are using Payroll Sacrifice Vouchers as a tax incentive. We have developed a module to keep a clear audit trail of all remittances and payments received from Voucher Service Providers (Accor (Edenred), Busy Bees, Care 4, Sodexho).
You can allocate childcare vouchers to each individual child with ease; this will automatically update the child’s financial record in book keeping.
This module has been designed so that you can add additional Voucher Service Providers at any point in time to any registered child.
+ Book Keeping
Within the book keeping module you are able to set each child’s price plan, this can be the default price plan that is set up in the configuration or an individual plan for a specific child. You can determine different individual prices for different days and sessions.
You can access all historic invoices that have been produced and whether they have been printed or posted. If you would like to see the invoice in detail you have the option to also preview historic invoices that have been raised.
Within the accounts section of book keeping you can see all invoices that have been produced and receipts that have been received, showing you a balance on their account. All payments received for childcare fees are entered with ease using a simple step by step process.
+ Accident & Medicine
It’s a fact that small children will have accidents on a regular basis. Child care settings are required legally to record each one of these events. You will appreciate the quantity of paper work produced is substantial and the consequential ability to turn this raw data into meaningful information is extremely time consuming. The Nursery-Net accident module allows practitioners to quickly record the details of the accident and present this in a meaningful format such as filtering by practitioner involved or place of accident. Trends can be quickly viewed for risk assessment purposes allowing them to be made by settings to reduce common occurrences of accidents.

+ Holiday & Absence
The Nursery-Net Holiday & Absence (Leave) module allows managers to work with all aspects of a staff member's time off.
The absence module fully integrates with the system and allows all staff to enter future appointment requests, for example; doctors,
dentists and past sickness. This data is represented by management reports, allowing a full analysis of sickness and absence records to be viewed. The benefit is to clearly show any practitioners choosing to take 'long weekends' on a regular basis.

Nursery-Net enables you to produce an export from the invoicing process to produce a report of all direct debits that need to be taken for child care fees.

+ Grant Funding
Nursery-Net has a
comprehensive Grant Funding module. This module will
automatically identify eligible grant children and can produce a variety of reports to highlight
the financial overview. As well as printable declaration forms
Nursery-Net has been designed to provide
‘free nursery care and education at the point of delivery’ as specified by
the Secretary of State for Education and therefore keeps a record of all
‘free time’ allocated to each child for
audit purposes. The grant module has a quick and easy to use
Grant interface to allocate the ‘free time’ allocated to each child. Once all
‘Free Time’ has been allocated you are then able to produce and export your Head
Count Claim form to send to your local authority.
+ Invoicing
The invoicing module contains a comprehensive price plan which provides an infinite number of pricing policies allowing you the flexibility within your invoicing runs.
Child attendance can be recorded real time through the forecasting module or at the time of the invoice process. Entering any changes to attendance through forecasting will save you time whilst producing your invoices as the data would have already been entered. Attendance can be invoiced by time, session or a combination of both.
You have the option to charge for additional services taken during the month, which are then added to the following month’s invoice. Within the configurations you are able to define how your extra services are to be identified for example, Early Start, Lunch, Late Finish.
Nursery-Net allows you the flexibility to produce invoices on a weekly, monthly or annual basis, or any other specified time frame.
Once invoices have been produced the invoice value will be posted to the book keeping module which will automatically update the child’s account, showing customer invoice and payment history including the account balance.
